What is a Performance Management System in an organisation? How is a writer’s performance measured?

As a Human Resources professional with 2 decades of industry experience, this topic always has and continues to interest me. Hence, thought of sharing some of my learning/experiences here…  

What is a performance management system (PMS)? what is measured in PMS and why it’s necessary?  🤔

A PMS in organisations is used to measure employees’ performance.

This system is considered to be successful and robust when:

  • It’s ongoing
  • Goals are set for employees/teams aligned to the organisation’s goals  
  • There’s a plan, review and assessment of progress against the goals
  • It discusses employees’ development of knowledge, skills and abilities  

Let’s understand each of these aspects:

Ongoing  🔁

      

There must be continuous review and feedback to employees regarding their performance. This ensures that the employee is aware in case of shortcomings, while also providing an opportunity for the manager to appreciate good work.

When a regular discussion is held regarding the goals set, it’s also a chance for the employee, team and organisation to reassess objectives/performance standards, in case of modifications at the company level, due to any reason.  

Goal-setting 🎯

This is a crucial element of the PMS. It enables individuals/teams to not only be aware of the company’s objectives but also align themselves with them. With clear goals in front of them, employees are able to appreciate their roles better, vis-à-vis the team/organisation.

Without goal-setting, employees will find the process unfair and end up working in multiple directions, finally not reaching the desired goal.  

Plan Vs achievement assessment 🏹

Regular reviews and evaluation of plan Vs achievement ensure that employees, teams and therefore the organisation move towards its final objectives.  

An ongoing performance evaluation ends with an annual review. This process design doesn’t spring surprises on the employee as he/she is already aware of their progress throughout the year.   

Employee training & development  📝

Based on the performance reviews, monetary rewards in the form of salary increments, performance-based incentives and elevation to the next job level/grade (promotions) are allocated.  

An integral part of the review involves a discussion about training and development needs between the employee and manager. This is based on insights from the year gone by and/or preparation for the upcoming year.
